Events · step by step

Run an event in four steps

Create → Invite → Check in → Wrap up. Inside every event the same four steps sit across the top, so you always know where you are.

  1. 1

    Create the event

Fill in the name, date, venue and capacity. Everything else is optional and can be added later.

Inside the event, Create → Stages & schedule lets you add stages or sessions (e.g. “Main Stage 7pm”). The Performer's card link field is optional: paste a performer's Tapn.vip link so fans can tap their name.

Where: Events → “Create event” form at the top

What you'll see: A new event card appears in your list with a public web address (tapnvip.com/e/your-event). Open it to continue.

  2. 2

    Invite people

Share link — copy the registration link to social media or your newsletter.

QR signs — print the sheet and post it at the venue; scanning registers or checks in.

Email — message everyone who registered (tap 🎙️ to dictate the announcement).

Where: Inside the event → Invite step → Share link / QR signs / Email

What you'll see: Guests who register get a personal check-in code by email. Your Registered count goes up on the Create → Dashboard tab.

  3. 3

Check guests in at the door

Door — type or scan the guest's code; large buttons for staff on phones.

Live — headcount by stage in real time; put it on a screen backstage.

Locator — find a registered guest by name when they lost their code.

Where: Inside the event → Check in step → Door / Live / Locator

What you'll see: Each guest turns green in Live headcount; the counter updates for every door. No-shows stay grey.

  4. 4

    Wrap up

Download the guest list, send a thank-you follow-up, and read the report. Delete the event only when you no longer need its data — deleting removes registrations, sessions and check-ins too.

Where: Inside the event → Wrap up step → Guest list / Report

What you'll see: A CSV of everyone (registered vs attended), plus a pilot report with taps, registrations, check-ins and revenue for sponsors.

Tips that save the night

  • Print the QR signs the day before; phones at the door should be on Wi-Fi or strong signal.
  • Give each door staffer the event link and the Check in step — nothing else is needed.
  • Your own Tapn.vip card at the booth: every tap is counted in the event report.
